Using my life experiences to mentor, guide, direct and up-lift others has been the hallmark of my life. I don’t believe that we go through any of the experiences of our lives for no reason. From the beginning to the end – our lives have meaning and purpose – whether we know or believe it. I was taught as a child by my shero’s (Frances Kelley, Mother; Belle Kelley, Grandmother; and Alfie Kelley, Aunt), that nothing was impossible for me if I wanted it bad enough and was willing to do the work necessary to achieve my goal. I lived my life by this belief and passed the same to my children. 

As the years have passed I have shared this belief with all the young people I have had the honour to mentor and advise. While their names are too many to recall, they know who they are and that they all hold a special place in my heart!  Now I have decided to open this same desire to help and commitment to pour into the children of Nigeria, through the BYE Campaign. Social Branding and Success Mindset Influencer

I’m so glad to have received a great response to my message recent article ‘Don’t write like a robot. Make a human difference’. You may remember that I compared two different emails, one that sounded like a robot, and another that sounded like a human being.

This week, let’s explore the different styles of communication throughout history. Whatever the era, it seems to me that communication has always been rather like a dance.

1919: The Waltz

In the first half of the 20th century, the wheels of commerce turned very slowly, so communication was a slow dance, rather like a waltz. People kept each other at a distance, they built relationships very slowly, as they moved around the dance floor… one two three, one two three, one two three.

And yes, when they wrote letters and memos, on their manual typewriters, they still danced the waltz, with their long sentences, formal language, and passive voice.

2019: The Cha-Cha-Cha

Today, we need to get to know people quickly, so we are more informal and friendly. Today our dance is like a cha-cha-cha. It’s lively, full of energy, a little playful… one two cha-cha-cha, one two cha-cha-cha, one two cha-cha-cha.

However, something strange happens when we put our fingers on our computer keyboard to write an email. Suddenly our writing becomes more formal, with passive voice, long sentences, and flowery words. We switch back to a waltz!

Today, many people have two voices – one voice for speaking and a different voice for writing. 

Let me share an example from a huge organisation I worked within one of the most modern countries in the world – Singapore. Their aims were to stand out from the competition with a customer-friendly attitude that’s approachable, warm, and caring.

If you called their hotline, you may hear a recorded message saying, “Hey, we’re sorry, we’re on another call right now. Hang tight and we’ll be with you very soon.”

But then… when they emailed customers, they were writing things like this: 

This email sounds like something that could be written by a robot that’s programmed to perfection.

What’s happening in your organisation?

Are your emails like a cha-cha-cha? Do they sound like a human voice, friendly and warm, with everyday language and active voice?

Or are your emails more like a waltz? Do they sound like a robot, cold, formal and distant, very monotone and template?

In business today, we need to get things done quickly, we need to connect, build relationships and create trust. This will happen quicker with the human voice.

  1. In Singapore, waste disposed of has increased seven-fold over the past 40 years. About 7.7 million tonnes of waste was generated in 2017. This amount is enough to fill 15,000 Olympic-size swimming pools!
  2. Every day, about 79% of our domestic waste generated will be incinerated at one of our four waste-to-energy (WTE) incineration plants. However, the more waste we incinerate, the higher our carbon footprint – this contributes to global warming and climate change.
  3. Semakau Landfill is Singapore’s one and only landfill. It receives more than 2,000 tonnes of WTE incineration ash and non- incinerable waste daily. At our current rate of waste growth, Semakau Landfill will run out of space by 2035.

How will Singapore achieve  Zero Waste vision?

Singapore will adopt a circular economy approach to sustainable waste and resource management. Singapore will strive to close the waste loop, just like how they have closed the water loop by recycling water endlessly!

In this article, I would like to take the attention of our women followers over the issue which is one of the most advancing factors in relation to pain. Yes, its “Driving”.

Nowadays women are independent and driving most of the time of their own. Many girls who have sales and marketing jobs they spend most of the time behind the wheels. And of course the homemaker, who have responsibilities of the whole house in their shoulder, they keep driving most of the time from picking up and dropping kids, going for shopping, taking a family member to hospital etc, etc, And eventually, we end up in pain in various joints and muscle.

I was speaking at an event a few days ago, when the constant sounds of mobile phones once or twice, disrupted my chain of thoughts, not to mention the attention of the rest of the delegates.   In this current world, we live in, people are running their lives with their techno-gadgets.  That said, even on the run, correspondence etiquette or what I always refer as techno-correspondence etiquette should never be dismissed. 
  
With the rapid increase use of technology such as tablets, smartphones, social media and email correspondences, face-to-face meet-ups have been made, not quite redundant, 
however, way lesser than what it used to be.  Professionals most time do not see the person they are dealing with physically.  This is all well and dandy, but manners and etiquette still need to be kept especially while dealing with professional correspondences.  If anything else, 
communicating online needs more effort to ensure whatever that is being said will not be misinterpreted or misunderstood. 
 
Here are some of my techno-correspondence etiquette tips or what I prefer to call 
e-correspondence netiquette : 
 

Brevity  

 
Have you ever received an email that is so long-winded that you lost track of what the sender actually wanted to say?  I had and it was not fun; reading and re-reading the same email until I 
get the gist of it.  The thing about online communication is that brevity is expected; it needs to be on-point and straight forward.  Having said that, make sure sentences are written in full.  
Avoid a “yes”, “no” or one-word answers; this might come across as curt. 
 

Language 

 
Professional language and style need to be used when sending business email and texts.  
Avoid casual language, fancy fonts, emoticons and anything that conveys a relaxed style.  Be careful with humour which may be misunderstood especially across various cultures.  
Offensive language should never be used at all time; even if you are pally to the person you are sending the email to. 
 
Attachments; only send with permission 
 
It is always a good idea to ask before sending an attachment, especially if it is a large one.  
Some companies may even have policies against opening unsolicited attachments. 

 

Response time 

 
In general, emails or correspondences should be replied within the same business day.  Of course, you might have other pressing matters to attend to first or in some cases, immediate reply to an email might not be necessary.  
 

Reply all 

 
Respecting the privacy of your contacts is really important.  Be aware when clicking on the ‘reply all function.  Each email needs to be handled consciously.  In many situations, you need to only send a reply to the sender; not the rest on the list.  Imagine if you have clicked on “reply all rather confidential or personal information. 
 

Use BCC feature 

 
Whenever there is a need not to divulge the email addresses of entire recipients of your mailing list, use the BCC  (blind carbon copy) feature.  This way, only the address of the main sendee will appear on the email. 

A clear, direct subject line 

 
Examples of the good subject line, “Change of Meeting Venue” or “Suggestions for Your Presentation”. 
If you are anything like me, I open my emails based on subject lines; choose one that lets readers know you are addressing their concerns. 
 

Out of office 

Before you go away for an extended period, put up messages on your emails and phone 
systems indicating your absence and your return date and who should be contacted during 
your absence.

Proofread every message 

Your mistakes will certainly be noticed by your recipients.  Do not rely on spell-checkers; read and re-read your emails before sending them off. 
 
So there you go, tips that are so easy to overlook yet so basic in keeping up with etiquette of communications in the cyberworld.
